This article helps all PM Bridge users understand and utilize the Active Project Management (APM) Report. Learn how to quickly assess project health indicators and details within your office for a chosen fiscal year and quarter to proactively address issues and improve your portfolio's performance.
The APM Report provides a quick view of your office portfolio's Quarterly Assessment health, including statuses (waived, missing/incomplete, completed) and aggregate health scores (Green, Yellow, Red). This helps you quickly identify gaps, track performance trends, and proactively address persistently red projects to improve outcomes and maintain a healthy portfolio. The report leverages existing PM Bridge permissions, ensuring consistent access.
STEP 1: Access the APM Report
From the PM Bridge homepage, locate the navigation panel on the left side of the page.
Select Quarterly Assessments. Then, click the APM Report button to view the report.
STEP 2: Filter and View Your Projects
Use the FY/Quarter Drop-Down to select the specific fiscal year and quarter you want to analyze.
Select My Projects to see only the projects assigned directly to you.
To view projects for a specific Technology Office, select All Projects and then choose the relevant office.
After making your selections, click the APM Report button to generate and view the report.
STEP 3: Refine Your Report View
Use the drop-down menu next to CMEI Project Lead to filter the report by a specific project lead.
Use the drop-down menus for Current Quarter Aggregate Health Score and Previous Quarter Aggregate Health Score to filter projects based on their health status.
Click the drop-down menu for Lab or Financial Assistance to view projects by type.
To filter by a project's unique identifier (WBS), use the drop-down menu next to WBS.
STEP 4: Understand Quarterly Assessment Status
Identify the status of your quarterly assessments at a glance to ensure timely completion and address any gaps.
See the total number of assessments your projects have successfully completed.
Quickly identify missing or incomplete assessments to improve completion rates.
Understand how many assessments have been formally waived for specific projects.
Get a comprehensive count of all assessments within your selected view.
STEP 5: Interpret Aggregate Health Scores
The Aggregate Health Score (Green, Yellow, or Red) reflects the overall health of each project, based on its scope, schedule, and cost indicators. The Donut Chart provides a visual summary, showing the counts and percentages of Lab and Financial Assistance (FA) projects in each health category for your chosen office and FY/Quarter.
Your project is generally on track, with no more than one yellow second-level health indicator and no red indicators.
Your project has two or more second-level health indicators that are yellow, suggesting areas that need monitoring or minor adjustments.
Your project has two or more second-level health indicators that are red, signaling significant issues that require immediate attention and corrective action.
The center of the Donut Chart displays the total number of completed assessments, giving you a quick overview.
STEP 6: Identify and Address Red Projects
View projects that showed a Red Aggregate Health Score in the previous quarter.
Identify projects currently showing a Red Aggregate Health Score.
Pinpoint projects that showed a Red Aggregate Health Score for two or more consecutive quarters, indicating persistent challenges that need urgent intervention.
STEP 7: View APM Project Assessment Details
The Project Assessment Details Table provides in-depth information about each project, sorted by priority to highlight critical areas first. Projects with a Red health score in both the current and previous quarters receive the highest priority. The sorting order is based on the Current Quarter Aggregate Health Score (Red > Yellow > Green > Waived > Incomplete), followed by the Previous Quarter Aggregate Health Score using the same order.
See the unique Work Breakdown Structure number assigned to each project, which aligns it with your office's WBS.
Review the official title of the project. STRIPES imports this information for Financial Assistance (FA) projects and the AOP tool imports it for Lab projects.
See the project's aggregate health score for the current quarter. You can sort the table by Red, Yellow, Waived, or Incomplete to quickly find projects needing attention.
See the project's aggregate health score from the previous quarter, allowing you to track trends. You can sort the table by Red, Yellow, Waived, or Incomplete.
Identify who performs the project.
Understand whether the project is a Financial Assistance (FA) or Lab project. PMC/STRIPES provides this data for FA projects and AOP provides it for Lab projects.
See the primary Office of Critical Minerals and Energy Innovation Project Lead responsible for the project. STRIPES imports this for FA projects and AOP imports it for Lab projects.
Find the unique identification number for the project award.
For projects with a Red Aggregate Health Score, this field provides specific reasons for the designation.
When a project has a Red Aggregate Health Score, this section describes the actions recently taken to address the issues.
For projects with a Red Aggregate Health Score, this outlines the planned actions to resolve the identified problems.
View the duration of the project, from its start to its end date.
Aggregate Health Score Details: If a project has a Red Aggregate Health Score in the current or previous quarter, you must populate the "Why is this Project Red?", "Recent Actions (Steps Taken)", and "Next Steps" columns in PM Bridge. If you do not enter this data, the report will display values based on the status of both previous quarter and current quarter Aggregate Health Scores (refer to the documentation for specific scenarios).
STEP 8: Export Data
Export the Project Assessment Details table to analyze the data further or share it with others.
Locate and select the ellipses (...) in the corner of the Project Assessments Details table.
A menu will appear with the option to 'Export Data.' Select this option.
From the dropdown menu, choose your desired file format (.xlsx or .csv).
Click the export button to download the data. You will find the exported file in your downloads folder, titled by date and content.
