pushpin A Work Breakdown Structure (WBS) is a unique number assigned to a project to align it with an office's WBS. It helps organize and define the total scope of work for your project.

STEP 1: Access the Project Monitoring Tab

  • From the PM Bridge homepage, locate the Action panel on the right side of your screen.

  • Select the Project Monitoring tab within the Action panel. This is where you'll manage your project's WBS details.

STEP 2: Expand the WBS Section

Within the Project Monitoring tab, find and click on the WBS section to expand it. This section will display all relevant WBS information for your project.


STEP 3: Review and Select Project Details

  • Fiscal Year: View the Fiscal Year of your lab project, which is automatically imported from Lab Planning. You cannot edit this field. This represents the Fiscal Year of the office's current WBS.

  • Program: Select the appropriate Program from the dropdown menu. The Program is the top level of your office's Work Breakdown Structure. For FA projects, you manually enter this; for Lab projects, it's imported from Lab Planning.

    • Problem: If you don't see your desired program, it might be restricted by the fiscal year and office of the project. The system uses the WBS structure for the most recent fiscal year available for your office.

    • Action: Changing the Program will update the available Activities and clear any previously selected Activity.

  • Activity: Choose an Activity from the dropdown menu. This is the level below the Program in your office's WBS. Like the Program, it's manually entered for FA projects and imported for Lab projects.

    • Problem: If the correct activity isn't available, it's likely restricted by the Program you selected.

    • Action: Selecting an Activity will update the available Sub-activities and clear any previously selected Sub-activity.

  • Sub-activity: Pick a Sub-activity from the dropdown menu. This is the level below the Activity in your office's WBS. This is also manually entered for FA projects and imported for Lab projects.

    • Problem: If you can't find your sub-activity, it's restricted by the Activity you selected.


STEP 4: Enter the WBS Number

  • Click within the WBS field and enter your desired WBS number.

    • For FA projects, you will manually enter the fourth digit of the WBS. 

    • for Lab projects, it's imported from Lab Planning.

STEP 5: Save Your Changes

Once you have completed all the fields, click Save to apply your changes to the current page data.

Frequently Asked Questions

  1. Why can't I edit the Fiscal Year for my project?

    The Fiscal Year is automatically imported from Lab Planning and represents the current WBS structure for your office. It's a read-only field to ensure data consistency and alignment with official records.

  2. What if the Program, Activity, or Sub-activity I need isn't in the dropdown list?

    The available options are restricted by your previous selections (e.g., Activity options depend on the selected Program) and the most recent fiscal year's WBS structure for your office. Ensure you've made the correct preceding selections. If the issue persists, verify your project's fiscal year and office alignment with your administrator.

  3. Why does changing the Program or Activity clear my subsequent selections?

    This happens to ensure data accuracy. The available Activities are dependent on the chosen Program, and Sub-activities depend on the chosen Activity. Changing a higher-level selection necessitates clearing the lower-level ones to prevent invalid combinations.

  4. Can I edit WBS information for both FA and Lab projects?

    You can edit WBS data for FA projects. For Lab projects, most of the WBS information (like Program, Activity, Sub-activity, and parts of the WBS Number) is imported from Lab Planning and is read-only to maintain consistency with the source system. You can, however, view this information for all projects.
